Description

Under the general supervision of the Executive Director of Philanthropy, the Development Coordinator offers comprehensive administrative support to the Office of Development while contributing to various special initiatives.

Candidates should demonstrate responsiveness toward and understanding of diverse student backgrounds, especially with regard to socioeconomic status, race, ethnicity, culture, ability/disability, sexual orientation, and gender identity and have a willingness to facilitate the university’s mission to develop global citizens.

Essential duties include but are not limited to:

Gala (40%)

  • Assist in planning and executing Soka’s annual gala.
  • Utilize Greater Giving software to manage attendee information, sales, payments, and auction items.
  • Prepare and dispatch auction item solicitation letters.
  • Create and review the auction catalog.
  • Coordinate gala committee meetings, manage online invitations, and arrange catering.
  • Work with vendors and process check requests for event-day payments.
  • Create posters for Live Auction items and order any signage needed for the event.
  • Develop innovative ideas to improve the gala.

General Administrative Duties (30%)

  • Process requisitions and invoices using Workday.
  • Submit facilities and IT requests on behalf of the department.
  • Record minutes during team meetings.
  • Manage the Giving section of the Soka website.
  • Coordinate the procurement of promotional items.
  • Maintain inventory of development gifts and supplies.
  • Organize mailings as required.
  • Oversee departmental print projects from design collaboration with graphic designers to coordinating with the printer.

Bi-annual Donor Magazine (20%)

  • Collaborate with the Executive Director of Philanthropy to develop the table of contents for each issue.
  • Reach out to staff and faculty for article and photo contributions.
  • Proofread each issue thoroughly.

Donor Events (10%)

  • Coordinate donor events, including venue reservations, catering arrangements, rental acquisitions, floral orders, Facilities and IT requests, and post-event cleanup scheduling.


Requirements

Minimum Qualifications:

Education

  • Bachelor’s degree preferred

Experience

  • 5+ years of relevant administrative work experience

Competencies/Skills:

  • Knowledge of Microsoft
  • Knowledge of PeopleSoft or Slate or Greater Giving software is a plus
  • Organization and event planning skills
  • Proven ability to develop and execute projects
  • Proven ability to build relationships and work effectively with people from different backgrounds and roles
  • Excellent written and verbal communication skills
  • Strong organizational and project management skills
  • Ability to work independently and as part of a team
  • Strong proof reading/editing skill
  • Ability to maintain accurate filing system and records
  • Ability to handle confidential matters and exercise diplomacy and discretion
  • Ability to maintain multiple priorities and projects with strict deadlines
  • Commitment to Soka University of America’s mission and values
  • High ethical and professional standards
  • Some travel required
  • Bilingual in Japanese is a plus

Soka University of America offers excellent benefits. The anticipated salary range for this position is $50,000 to $60,000 and will be commensurate with qualifications and experience. 

Employment is contingent upon the completion of a successful background check.
